New feature: auto-refresh

Dear friends, we are really excited to announce a new cool feature in our HubSpot plugin: auto-refresh.

It is really simple to use:

  • First, you have to download your HubSpot data into the spreadsheet tab.
  • Then, click menu  “Automation” → “Data Operations Scheduler”
  • In the Scheduler:
    • you can click “Execute now” to test, how it works
    • or create a new schedule for an automatic refresh: you can refresh:
      • once
      •  hourly
      • daily
      • weekly
      • monthly
  • That’s all! After each auto-refresh operation, a report will be added to the new spreadsheet tab and also can be sent to your or any provided email address.

Few points:

  1. This feature is in beta stage now, so, if you will meet any problem, please contact us.
  2. When you will open the document for the first time after an update, Google will ask you to provide new permissions: “G-Accon for HubSpot wants to access your Google Account“. The reason for this is, that we have requested a new permission: to send emails. We need it to send you a report about the auto-refresh status.

How to see your HubSpot email events

Dear customers, today we have added a new login type to our G-Accon for HubSpot add-on. So, at this moment, we have following login types:

  • Hubspot basic (content only) customer
  • Hubspot reports (content + reports)
  • Hubspot premium (all Hubspot data)

You may be confused: why there are so many login types and what type should you use? To answer this question, let me give you very brief and informal description of the HubSpot authentication.

HubSpot uses the industry standard, called OAuth (Open Authorization). The idea is following:

  1. When you open G-Accon for HubSpot menu and click on any “Sign In” item, our application will connect HubSpot and say: “Hey, I have a customer who wants me to get some data from his HubSpot account. And here is a list of HubSpot tables I need to get access to”.
  2. HubSpot will redirect you to the login page for authorization. Please pay attention: we never will see your password! This is the main idea of the OAuth.
  3. After the successful authorization, HubSpot will check, if it can provide access to the requested data. And here is the explanation, why we need three different login types: because of HubSpot has different access types. So, if you have access only to basic content, HubSpot will show an error, if our application will request access to reports or workflows.

So, here is the set of different types of HubSpot data:

  1. Contacts
  2. Content
  3. Files
  4. Forms
  5. Reports
  6. HubDB
  7. Social
  8. Workflows

And, now, please have a look, what each login type will request:

  • Hubspot basic (content only)
    • Contacts
    • Forms

As a rule of thumb, you always can start with more premium type and, if you get a Hubspot error after login, switch to the less premium.

How to deal with HubSpot deals

Dear friends, in a couple of recent weeks we’ve got feedback from you about Deals data download. In particular, you correctly complained that current limit for the downloaded records number (2,000) is too small and that there is no way to filter deals before download.

And we listen to you. Unfortunately, there are technical limitations in Google Sheets and Hubspot, which do not allow us to download more deals. However there is a workaround, and we are working on it right now – estimated time of delivery is 3-4 weeks. Filters also will be added, maybe slightly later.

In the meantime, we have added two new types of deals to download, as a partial solution to this problem. These types are:

  • Deals Recently Created
  • Deals Recently Modified

Both types will return deals for the last 30 days, up to 2,000 records. Later, we will add the possibility to return deals created after a particular timestamp (but it still should be less than 30 days ago – Hubspot limitation). Also, there are plans to combine all three data types: Deals,  Deals Recently Created, and Deals Recently Modified into one (actually, it is one type, but there are three different ways to get it in Hubspot). Please stay tuned.

Please send us your feedback! We are good programmers, but it is YOU who knows the business, so, please, let us know what you need! We are a small startup with limited resources, so we need you to set up the priorities in our backlog: we cannot do everything simultaneously.




G-Accon for HubSpot – Import Contacts, Companies, Deals


We are very excited to announce, that we have added new functionality to our Hubspot application: data upload.

Currently, it works for following tables:

  •  Deals
  • Contacts
  • Companies

More are on the way.

Or you can go through the steps below:

    1. In the Google spreadsheet, create data to upload. You can download existing data from the Hubspot, import it from another application, or just create it manually. The first line should be the fields names. Better (but not mandatory), if it will be same, as field names in the Hubspot table. Select data you want to upload.
    2. In G-Accon menu, click “Update / Insert Selected Row(s)”
    3. Select table to upload to:
    4. After selection, matched Hubspot fields will be mapped automatically. Non-matched will be left blank:
    5. To match it, drug and drop the Hubspot field from the list of updatable fields. After this, check “Use” checkbox:
    6. Click “Go” button.
    7. You will receive the error message because the selected operation is “Update” and you do not have an ID field in your data.
    8. Select “Insert” and click “Go” again.
    9. This time data will be uploaded. You will see upload results in the columns to the right of your dataset. As you can see, one record has been uploaded, and another had received the Hubspot validation error because a wrong value in the “type” column.
    10. Change the value in the “type” column to “PROSPECT”, select two first rows and upload again. This time it will be uploaded.

Over the past few weeks, we have added a lot of improvements to the Hubspot plugin. We hope, that these changes will make the plugin more usable:

Separate logins for free and premium Hubspot users.

Hubspot gives different access to its API to a different type of users. To utilize this, we have created two login screens, one for free user, and another for premium one. If you are not sure, what type is yours, try premium first. If you have received the error message: “This hub doesn’t have access to some HubSpot features that are required by this integration. Please contact the integrator“, this means you should go to the free user.

New tables added for download.

Currently, for free user, following tables available:

  • Companies
  • Contact Lists
  • Contact Properties
  • Contacts
  • Deal Pipelines
  • Deal Properties
  • Deals
  • Owners

Premium users, on the top of it, will also have:

  • Blogs
  • Broadcast Messages
  • Calendar Events
  • Email Events
  • Publishing Channels
  • Subscriptions
  • Workflows

Increased number of the downloaded records.

We have increased the maximum of downloaded records to 2,500 from 200 in the previous version. At this time, we are investigating Spreadsheets and Hubspot API limitations to be able to download even more records.

Performance improvements.

We significantly improved performance for the record downloading.  While there are no miracles and we are restricted by the both Google Spreadsheets and Hubspot API speed, we made all efforts to effectively deliver a big number of records.
